How to add it to Gmail, Outlook or Apple Mail
- Choose Copy signature.
- In Gmail, open Settings, then See all settings.
- Under Signature, create a new one and paste.
- Scroll down and choose Save Changes.
- Choose Copy signature.
- Open Settings, then Mail (or Accounts), then Signatures.
- Add a new signature and paste it in.
- Pick it as the default for new messages, then save.
- Choose Copy signature.
- Open Mail, Settings, Signatures, and add one with +.
- Untick “Always match my default message font”.
- Paste into the right-hand box.
How to make your email signature
- Pick a template: Classic, Modern (with photo), Minimal, Compact or Banner.
- Fill in your details. Leave out anything you do not want shown; empty lines disappear.
- Add a photo or logo and your social links, then choose a colour and font.
- Choose Copy signature and paste it into your email app’s signature settings. Your details are saved in this browser for next time.
Adding it to Gmail, Outlook and Apple Mail
- Gmail (web): Settings (gear) → See all settings → General → Signature → Create new. Paste, then Save Changes at the bottom of the page. Set it as the default for new emails and replies.
- Outlook (new Outlook and Outlook on the web): Settings → Account → Signatures. Add a new signature, paste, choose it as the default, and Save.
- Outlook for Windows (classic): File → Options → Mail → Signatures → New, then paste into the editor.
- Apple Mail (Mac): Mail → Settings → Signatures, add one with +, untick “Always match my default message font”, and paste into the right-hand box.
- iPhone Mail: Settings → Apps → Mail → Signature. Pasting there keeps only simple formatting, so a short template like Minimal works best on iPhone.
If a mail app only accepts code, use Copy HTML and paste the code instead.
What makes a good email signature
- Short. Name, role, company and one or two ways to reach you. Everyone already has your email address.
- One colour. Pick your brand colour or a calm neutral; the rest stays dark grey for readability.
- A small photo or logo, if any. A friendly photo works for personal brands and sales; a logo for companies.
- Real text, not one big image. Text stays readable when images are blocked, works with screen readers and can be copied.
- Only the social links you use for work. Two or three is plenty.
About images in email signatures
Mail apps show signature images by loading them from the web. So the most reliable way to add a photo or logo is an image address: a link to a picture already online, such as your website’s logo or a profile photo. If you upload an image instead, it is embedded in the signature itself; Apple Mail and many Outlook versions show it, but Gmail strips embedded images and some other apps show them as attachments.
The small social icons are images hosted on keensignature.com, in the colour you choose. If you prefer no images at all, choose Text links.

Is the email signature generator free?
Yes, with no sign-up and no branding added to your signature.
Will it look the same in every email app?
Close to it. The signature is built the way email needs: tables, inline styles and web-safe fonts, which Gmail, Outlook and Apple Mail all display. Some apps add their own spacing, and dark mode may adjust colours.
Why did my photo disappear in Gmail?
Gmail removes images that are embedded in a signature. Use an image address (a link to your photo online) instead of uploading, and Gmail will show it.
Where are my details saved?
In this browser’s local storage, on your device only. They are never sent to us. Choose Start blank to clear the form.
Can I edit the HTML?
Yes. Copy HTML gives you the code. It is plain table-based HTML with inline styles, easy to adjust in any editor.
Can I add a handwritten signature image?
You can make one with the signature generator and host it online, then use its address as the image. For most business email, a clean typed signature reads better.
